The challenge
The team had outgrown HubSpot and wanted a CRM that was more AI-forward and better matched how it sells high-ticket programs and advisory work.
What we built
- HubSpot-to-Attio migration: moved contacts, companies, deals, notes, tasks, and products.
- A workspace designed around the sales process: created a Products & Services object mirroring the QuickBooks catalog, linked each deal to the exact program or service, tracked invoices on deals, and added a separate custom object for another deal type with its own stages and milestones.
- Stripe to Attio: automatically creates deals for paid transactions on selected offering types.
- Cal.com and Fathom sync: booking details and post-call notes flow into Attio. AI uses call context to attach notes to the right open deal when a contact has several.
- Closed Won to QuickBooks invoicing: n8n creates the QuickBooks Online invoice, maps the Attio product to the matching QuickBooks item, and writes the invoice number back to the deal.
Outcomes
- The team moved from HubSpot to Attio with contacts, companies, deals, notes, and tasks intact.
- The team now works in Attio day to day, rather than updating a CRM after work happens elsewhere.
- QuickBooks invoices are created automatically when a deal is marked Closed Won, and the invoice number is written back to the deal.
- Closed Won deals missing an invoice are automatically caught and corrected.
- Payments, bookings, and call notes flow into Attio without manual entry.
